JOB DESCRIPTION: | Primary Purpose:
- Administrative support for the Facilities Services Administrator by providing efficient and effective coordination of financial tasks, communication and workflow for the service area
- Support the activities and purposes of the Facilities Services team and partnerships
- Coordinate the daily activities related to operations and maintenance of the buildings and grounds

JOB QUALIFICATIONS: | Education/Certifications:
- High School Diploma or GED
- Professional Administrative Assistance training or certificate preferred
- College or equivalent in years' experience
Special Knowledge/Skills:
- Proficient data entry and typing skills
- Proficient with Microsoft Office Suite 365, Google Drive applications and functionality, ESC Works, and other technical applications
- Experience with department budgets and processing basic financial transactions
- Excellent communication and interpersonal skills, experienced in telephone, voice mail, Fax and email communications; able to cover phone communications on multiple lines
- Experience in organizing and creating spreadsheets/databases for financial tracking
- Knowledge of financial workflow - invoicing, purchase orders, requisitions, reimbursements, bill payments, etc.
- Ability to prioritize and problem solve
- Strong time management skills for effective performance with minimal supervision
- Ability to detect and resolve problems relating to safety, security, and cleanliness of the Region 10 facilities
- Knowledgeable of ESC and public school district organization, operations, and administrative policies and procedures

DUTIES AND RESPONSIBILITIES: | Specific Responsibilities and Duties for the Facilities Services Specialist
- Administrative support for the Facilities Services Administrator
- Prepare, organize and file reports and correspondence for projects
- Monitor calendar of events, participant registration, and process room bookings
- Review and monitor monthly expenditures including, but not limited to: processing purchase orders, payment requests, requisitions, travel expenditures, invoices, and other account billing statements
- Reconcile monthly account statements for Facilities Services
- Monitor office supplies, complete purchase requisitions for supplies and equipment, maintain inventory
- Greet visitors and assist with routine inquiries from the staff and clients
- Maintain cordial and clear communications with Region 10 staff and external customers
- Maintain confidentiality of all information handled
- Provide logistical support for large events
- Facilitate meeting room utilization for external and internal customers
- Manage off-site parking requirements for all buildings
- Manage the energy management control system for all buildings
- Organize and distribute all keys and magnetic cards for all buildings
- Assist with pick-up, mailing, and dissemination of communications received via interoffice mail and US Postal Service, UPS, FedEx
- Manage licenses and contracts for 3rd party vendors
- Assume responsibility for and maintain confidentiality relative to records and data
- Other duties as assigned

REQUIRED EXPERIENCE: |
- Three years related to administrative assistant, bookkeeping, finance support, and/or accounting
- Technologically savvy and experienced in various software applications
|
