JOB DESCRIPTION: | Primary Purpose:
- Function as clerical and office support to the Director of Supervision and Leadership Development
- Function as clerical and office support to the TIL team as needed
- Responsible for the efficient and effective coordination of activities and accomplishment of job tasks as related to the office of the Director of SLD and the TIL Team

JOB QUALIFICATIONS: | Education/Certifications:
- High School Diploma
- Prefer professional secretarial training or community or senior college training, or the equivalent in experience
Special Knowledge/Skills:
- High level of communication; multiple forms of interpersonal skills
- Experience in telephone and electronic communications
- Organized and experienced in file maintenance and records retention
- Experience in creation of spreadsheets/databases. Advanced skills with Excel spreadsheet applications
- Proficient typist, experienced in use of Microsoft Office software (Word, Excel and PowerPoint), Network email system, and Calendar of Events
- Self-directed & motivated
- Ability to prioritize & solve problems
- Ability to establish successful working relationships with peer and Region 10 staff & clients

DUTIES AND RESPONSIBILITIES: | Responsibilities and Duties Common to all Region 10 ESC Employees:
- Ability to work on and enhance a team
- Utilize time wisely for effective management of position responsibilities and to ensure timelines are met
- Maintain punctuality in daily work times, appointments, and meetings
- Maintain a positive, customer friendly, and professional tone in all communication (i.e. email, written, and verbal)
- Participate as an effective team member who contributes to center-wide strategic planning goals
- Display proficient levels of technology applications and remain current in the area of digital integration
- Perform other duties as may be assigned by Region 10 Leadership
- Prepare and organize resources, train, and collaborate with Region 10 personnel
- Exhibit initiative in identifying problems and suggesting solutions in a positive manner
- Exhibit good judgement and decision making
- Keep supervisor informed of program and district needs
- Maintain up-to-date entries in Region 10 databases and accurate records for tracking and invoicing
- Adhere to Center procedures, guidelines, and policies
Specific Responsibilities and Duties for the Administrative Assistant III:
General Office Skills:
- Prepare, organize, and file reports and correspondence for specified projects
- Prepare, organize, and submit invoices and purchase orders for specified projects
- Provide direct budget data and purchasing activity support to the Director of SLD and TIL team
- Maintain expenditure budget data for numerous program areas
- Process incoming interdepartmental mail
- Make travel arrangements and hotel lodging for Director and TIL Team
- Receive and process all approved timesheets and leave reports
- Collect and distribute office mail
- Receive and distribute reimbursement checks
- Coordinate professional development for R10 clients
- Monitor Calendar of Events and process room bookings as assigned
- Maintain targeted Lists, Portals, and Calendars (online & in print)
Communication Skills:
- Demonstrate the ability to effectively communicate with staff and customers on the telephone, in person and in writing
- Edit and proof all written documents as requested
- Always maintain confidentiality in dealing with external and internal interactions
- Greet visitors and respond to routine inquiries from the staff and clients and refer inquiries to the appropriate staff
Organizational Skills:
- Demonstrate efficient organizational skills
- Demonstrate accurate record keeping skills
- Organize and maintain efficient system for ordering and maintaining supplies
- Demonstrate flexibility to manage multiple responsibilities and a variety of tasks with minimal supervision
- Document all official actions taken by the team as requested
- Development of meeting agendas and meetings
- Plan and coordinate the calendar of the Director of SLD and the TIL team

REQUIRED EXPERIENCE: |
- Five years of advanced secretarial experience in a multi-personnel environment
- Experience in maintaining accurate records
- Computer expertise with various software applications
- Prefer experience in an office in an ESC or public school district, at the administrative office level, or experience in the office of a business executive
