JOB DESCRIPTION:  

Primary Purpose:

  • Provide secretarial support within Operations & Certification Services
  • Support of the Asst. Director in scheduling of trainings, ordering of materials & organization of HR Summit                   
  • Focused support for HR, CERTification & Diag Program                   
  • Focused support for Application and Mentor Process
JOB QUALIFICATIONS:  

Education/Certifications:

  • High School Diploma or equivalent                          
  • Advanced secretarial training (preferred)

Special Knowledge/Skills:

  • General office skills including business correspondence and procedures                
  • Computer expertise including database development and management                
  • Skill in interpersonal communication and customer service                          
  • Organized and experienced in creation of spreadsheets/databases                          
  • Effective and efficient organizational skills                            
  • Ability to work autonomously
  • Effective use of Windows OS Microsoft Office Suite, email, and Google products
  • Effective team member               
  • Detail oriented, self-directed, and motivated                     
  • Ability to prioritize and solve problems                 
  • Ability to establish successful working relationships with peers, Region 10 staff, and clients
DUTIES AND RESPONSIBILITIES:  

Major Responsibilities and Duties:

  • Provide support to the Asst. Director
  • Prepare, organize, and file reports and correspondence for specified projects including ASEP & Title II
  • Provide support for consultants/programs that includes, but is not limited to, the preparation of letters and memos, flyers and program brochures, reports, contact lists, and email
  • Prepare purchase orders and miscellaneous payment requests as requested by supervisor
  • Develop, organize, and maintain workshop and registration materials and attendance lists
  • Ensure that handouts and other materials required for specific activities are organized and ready for professional development activities and meetings
  • Monitor calendar of events, participant registration and process room bookings as assigned
  • Invoice and process payment deposits certification candidates & Human Resources Training & Consulting
  • Organize and maintain the storage of an adequate stock of office and presentation supplies
  • Demonstrate the ability to effectively communicate with staff and customers on the telephone, in person, and in writing
  • Assume responsibility for and maintain confidentiality relative to participant records/data
  • Demonstrate efficient organizational skills
  • Demonstrate accurate record keeping skills
  • Invoice & track payments for the HR programs
  • Organize pre and post processes as well as attend the biannual Educator Preparations Programs Advisory Board meetings to record minutes
  • Accurately track certification program payments for interns/clinical candidates
  • Organize and maintain efficient system for ordering supplies
  • Demonstrate flexibility to manage multiple responsibilities and a variety of tasks with minimal supervision
  • Demonstrate knowledge of current program information consistently
  • Attend, participate and implement strategies from staff development, personal professional development, and meetings
  • Assess own knowledge, skills, and abilities to set well-defined and realistic goals
  • Organize, schedule trainings for Human Resources Training & Consulting
  • Perform other duties as required by the Asst. Director
REQUIRED EXPERIENCE:  
  • Three years general office work                
  • Experience in maintaining accurate records also including certification, transcripts & service records        
  • Computer expertise with various software applications
  • Experience working with teacher certification
