JOB DESCRIPTION: | Primary Purpose:
- To ensure efficient operations of the special populations team and support for the activities and purpose of IDEA-B by providing administrative support to the Special Populations administrators, coordinators and staff as assigned.

JOB QUALIFICATIONS: | Education/Certifications:
- High School Diploma or equivalent
Special Knowledge/Skills:
- Highly organized, experienced in electronic and hard-copy records maintenance
- Excellent communication and interpersonal skills, experienced in telephone, voice mail and electronic communications
- Proficient use of personal computer and software for word processing, presentation development, publishing, collaboration, spreadsheets and databases
- Knowledge of ESC and LEA organization, operations and administration
- Self-directed and able to prioritize and problem solve for efficiency

DUTIES AND RESPONSIBILITIES: | Specific Responsibilities and Duties for the Administrative Assistant I
- Provide administrative support to the consultant(s)
- Prepare, organize and file reports and correspondence
- Monitor assigned budgets, maintain accurate records, prepare purchase orders, payment authorizations and invoices, review budget balances and process payments
- Provide efficient, organized secretarial support that includes, but it not limited to, assisting with event organization, registration and attendance records; ordering supplies; preparing letters, memos, flyers, brochures, reports, databases, meeting materials, mailing lists, and mail outs via US mail and electronic means
- Participate in team and center-wide activities
- Observe all center policies and procedures and demonstrate flexibility to manage multiple responsibilities and varied tasks with minimal supervision
- Assist with other duties required for proper flow of Program/Unit
- Demonstrate the ability to effectively communicate with staff and customers on the telephone
- Perform other duties and functions as required
- Maintain a strong knowledge of evidence-based practices and current research
- Sustain a depth of knowledge in desired field and integration of such practices
- Remain current in research related to adult learners in order to meet their needs
- Demonstrate knowledge of and ability to assist administrators and teachers in serving students with diverse needs
- Create and provide professional learning opportunities using a variety of delivery methods
- Demonstrate effective coaching, mentoring, problem-solving and conferencing skills
- Assist with implementation of statewide initiatives and/or directives

REQUIRED EXPERIENCE: |
- Three or more years of secretarial experience with proficient use of various computer software applications
- Experience in maintaining accurate records and monitoring budgets
- Preferred but not required: Prior work with special populations
|
